Who We Are

MASSUK Ltd (“we,” “our,” or “us”) is committed to safeguarding and preserving the privacy of visitors to our website, www.massuk.co.uk. This Policy explains what happens to any personal data that you provide to us, or that we collect from you, when you visit our website or interact with us.

Information We Collect

We may collect and process the following data about you:

  • Information you give us directly, such as your name, date of birth, email address, postal address, or telephone number when you register for a symposium or event, or when you communicate with us by any means.
  • Information about your use of our site, including pages viewed, resources accessed, referring pages, approximate location (derived from IP address), device and browser type, and time spent on pages.
  • Marketing and communication preferences, including whether you have consented to receive marketing emails and which topics you have engaged with.
  • Information collected via cookies and similar tracking technologies, described in detail in Section 3 below.

Cookies and Tracking Technologies

Our website uses cookies and similar technologies to operate, analyse, and market our services. These fall into the following categories:

Strictly necessary cookies – required for the website to function (for example, remembering your cookie preferences). These do not require consent.

Analytics cookies – we use Google Analytics (GA4) to understand how visitors use our site, including pages viewed, session duration, and traffic sources. Google may process this data on servers outside the UK. You can learn more at Google’s Privacy Policy and opt out using the Google Analytics Opt-out Browser Add-on.

Advertising and remarketing cookies – we use the following third-party advertising technologies to show you relevant adverts on our site and elsewhere, and to measure the performance of our campaigns:

  • Google Ads, including remarketing, which may use data from Google Analytics to show you adverts based on your previous visits to our site. You can manage your ad preferences or opt out at Google Ads Settings.
  • Meta (Facebook) Pixel, which tracks actions you take on our site to help us measure and target advertising on Facebook and Instagram. You can manage your ad preferences at Meta’s Ad Preferences.
  • TikTok Pixel, which tracks actions you take on our site to help us measure and target advertising on TikTok. You can manage your ad preferences at TikTok’s Privacy Centre.

Where advertising cookies use hashed personal data (such as a hashed email address) for “advanced matching,” we only do this where you have given consent.

How to manage your cookie preferences. When you first visit our site, you will be shown a cookie banner allowing you to accept or reject non-essential cookies, and to manage your preferences by category. Analytics and advertising cookies will only be set if you consent. You can withdraw or change your consent at any time via the cookie preferences link in our website footer, or by adjusting your browser settings to block or delete cookies. Note that blocking cookies may affect the functionality of some parts of our site.

How We Use Your Information

We use your information for the following purposes, and only where we have a valid legal basis to do so:

  • To provide the products, services, or information you request from us (legal basis: performance of a contract / your request).
  • To register you for a symposium or event and administer your attendance (legal basis: performance of a contract).
  • To send you marketing communications about our products, services, or events where you have opted in to receive them (legal basis: consent). You may withdraw this consent at any time by clicking “unsubscribe” in any email or contacting us directly.
  • To analyse how visitors use our website and to improve it (legal basis: consent, via analytics cookies).
  • To show you relevant advertising on third-party platforms and measure its effectiveness (legal basis: consent, via advertising cookies).
  • To comply with our legal obligations, and to prevent or detect fraud (legal basis: legal obligation / legitimate interests).

Email Marketing

We use MailerLite as our email marketing platform to send newsletters, event updates, and promotional communications to people who have opted in. When you register for a symposium or subscribe to our updates, your name and email address are stored in MailerLite on our behalf.

MailerLite acts as our data processor for this purpose. You can read MailerLite’s privacy policy at mailerlite.com/legal/privacy-policy. Every marketing email we send includes an unsubscribe link; you can also ask us directly to remove you from our mailing list at any time by emailing contact@massuk.co.uk.

Storing and Transferring Your Personal Data

We take reasonable technical and organisational steps to keep your data secure. Where it is necessary to transfer your data to service providers located outside the UK or European Economic Area (for example, Google, Meta, TikTok, or MailerLite, which may process data in the United States or elsewhere), we ensure appropriate safeguards are in place, such as the UK International Data Transfer Agreement, EU Standard Contractual Clauses, or reliance on an applicable adequacy decision.

Please note that no transmission of information over the internet is completely secure. While we do our utmost to protect your personal data, we cannot guarantee the security of data you send to us electronically; any such transmission is at your own risk.

How Long We Keep Your Data

We retain personal data only for as long as necessary for the purposes it was collected. Marketing contact details are kept until you unsubscribe or withdraw consent, or after 24 months of inactivity, whichever is sooner. Event registration data is kept for 6 years to meet our administrative and legal obligations. Analytics data is retained by Google in line with our GA4 data retention settings (currently 14 months).

Who Has Access to Your Data and Who We Share It With

Access to your personal data is limited to MASSUK Ltd employees who need it to fulfil their role, all of whom are subject to our internal Data Protection and Confidentiality Policy.

We do not sell your personal data. We only share your personal information with third parties in the following circumstances:

  • Service providers who process data on our behalf, under contract and only for the purposes described in this Policy. This currently includes: Google (Google Analytics and Google Ads), Meta Platforms (Facebook/Instagram advertising), TikTok (advertising), and MailerLite (email marketing).
  • Symposium exhibitors or sponsors, where you have given specific consent during registration for them to contact you for research or educational purposes. If you withdraw this consent, your details will no longer be shared with these third parties.
  • In the event we sell or transfer any part of our business, in which case your data may be transferred to the buyer.
  • Where we are legally required to disclose it, for example in response to a court order or regulatory request.
  • To detect or prevent fraud.

Where We Ask for Your Consent

We ask for your consent as part of our registration and cookie processes before: setting analytics or advertising cookies; sending marketing emails; or sharing your personal information with symposium exhibitors or sponsors. You may withdraw your consent at any time, and doing so will not affect the lawfulness of processing carried out before withdrawal.

Your Rights

Under UK GDPR and the Data Protection Act 2018, you have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Erasure (“the right to be forgotten”) of your data in certain circumstances.
  • Restrict or object to our processing of your data, including for direct marketing.
  • Data portability, to receive your data in a portable format.
  • Withdraw consent at any time, where processing is based on consent.
  • Lodge a complaint with the UK Information Commissioner’s Office (ICO) at ico.org.uk if you believe we have not handled your data properly.
